REPORTS TO: General Manager - Engineering

Position Summary: 

You will work with project managers, engineers, and key personnel in Design/Drafting, Electrical/Instrumentation, and other areas to analyze the company's document control needs and to develop and implement efficient and appropriate document control strategies and procedures. Reports to General Manager Engineering. 

Responsibilities

  1. Manage document control personnel and activities.
  2. Develop and implement Company’s information management strategy.
  3. Develop and implement a computer based filing/retrieval system for all documents.
  4. Develop functional document control procedures to achieve Project objectives.
  5. Develop a document emergency back-up plan and implement in conjunction with IT department.
  6. Ensure retrieval of paper documents is fast and efficient.
  7. Ensure maintenance of all aspects of documentation registers and records.
  8. Ensure Sign-out/return forms exist for controlled documents and procedure is implemented.
  9. Coordinate with project personnel, vendors and Client to resolve document management problems in a timely manner.
  10. Manage ongoing responsibility for archives and control limited access to document files.
  11. Ensure that enquiries and requests are handled efficiently and promptly.
  12. Ensure that all documentation is recorded and fed through appropriate channels in an accurate and timely manner.
  13. Under the direction of the Project Engineer, ensures proper close-out of all projects with respect to documentation.

Qualifications

1.      Minimum of 5 years experience in document control.

2.      Proven experience in a technical or engineering environment.

3.      Completion of secondary school diploma.

4.      Proven experience in the supervision of staff.

5.      Strong communication skills, both verbal and written.

6.      Strong organizational and time management skills.

7.      The ability to work both as part of a team or independently.

8.      Knowledge and experience in the use of databases and electronic document management systems.

9.   Proficiency in Microsoft Word and Excel.
